Whilst you can link Pobble to your MIS (e.g. SIMS, RM, Scholarpack) you can also manage Pobble manually. We recommend this option if you are just using Pobble with a year group or class. Learn how to add pupils and add pupils to groups.
Why should you do this?
You can save time by automatically linking up all your school's pupils automatically using an MIS. After that, any changes in your MIS (e.g. new pupils or pupils that leave the school) will be automatically updated on Pobble.
How can I do this?
Please note that before you add any new pupils to Pobble, we recommend parents are informed about Pobble using our Letter A template - this is available in your parent pack if you are a Pobble School or as a download in step 2 on the "add pupils" screen.
Please also note that by default, ALL pupils on your MIS are uploaded to Pobble. If you wish to just upload a year group or key stage, for example, please follow these instructions after authorising the connection.
Step 1. As an administrator for your school, click on your account icon in the header and select 'School dashboard'. On the 'Data' tab, click the 'Connect' button
Step 2. You will need to authorise the connection. In order to facilitate this, our partner Wonde will contact you. To speed things up, you can also book a call with them.
Wonde will then take you through the next steps of the process. These involve;
- verifying the correct contact for your school (usually yourself as Pobble Champion, or your IT administrator).
- Setting up your school's Wonde School Portal, where the connection is authorised and approved.
- Selecting which pupils you would like to include in the sync - see here for more information how to do this. Again, please note that by default ALL pupils in your MIS are set to be synced over, so you will need to do this if you are just using Pobble with a year group or Key Stage, for example.
- an auditing process, to ensure all your data is being processed as expected.
Once this is complete (usually within 2-4 working hours from the initial call) your MIS data will be synced across to Pobble. Click "view pupils" to check everything has come across!
Please note data from your MIS can only be changed directly in the MIS, not on Pobble. After making any changes you to your MIS (for example, when a new pupil has joined midway through term) click 'Refresh' and these changes will be synced over to Pobble.
What if I already have pupils on Pobble that have been added manually?
If you already have pupils set up in Pobble manually, we advise to make sure that your lists of pupils in Pobble and your MIS are as similar as possible. For example, before you connect, retire pupils that have left the school and any duplicate pupils.
Any pupils that were on Pobble but are no longer present in the MIS data will be retired after your confirmation. You will also be able to review any anomalies (see screenshot below).
When the process is complete you can access your Pupil list to confirm everything has come across correctly.
You may find that some pupils are still attached to their old, manually created groups. To remove the groups, simply click "view groups", select which one you would like to delete, click the "Action" button and finally "Delete groups"
By default parent data is NOT imported. Once you are happy all the pupil data has synced correctly, tick the "import parents..." box as below and save changes. On the next download we'll import the parent data and send emails to them all for parental permission.
